Terms of service
Effective 12 October 2026
These terms govern a business or professional organisation's use of SeatBound. By creating or administering an account for an organisation, you confirm that you are authorised to accept them for that organisation.
1. The service and accounts
SeatBound provides booking, customer-management, messaging, payment-connection, reporting and automation tools. You must provide accurate account information, protect login credentials, use appropriate staff permissions and tell us promptly about suspected unauthorised access.
You are responsible for checking configuration, availability, pricing, notifications and imported data before relying on them in live operations.
2. Trials, plans and payment
A trial provides temporary access to the features described at sign-up. When it ends, you may choose a paid plan or use an available free plan subject to its limits. Paid subscriptions renew monthly until cancelled. Current plan features, usage allowances, currency, taxes and the final amount are presented before payment in Stripe Checkout.
You may cancel through Settings. Cancellation takes effect at the end of the paid billing period unless Checkout or the customer portal states otherwise. Fees already charged are not refundable except where required by law or expressly agreed.
3. Customer payments and Stripe Connect
When your business connects its own Stripe account and accepts customer payments, your business is the merchant of record. Customer funds are processed by Stripe under your connected-account agreement. You are responsible for your prices, refunds, disputes, taxes, receipts, cancellation policy and delivery of the booked service. SeatBound does not hold full card details.
You must complete Stripe's identity, business and payout requirements before accepting payments. Payment availability can be restricted by Stripe or law even when other SeatBound features remain available.
4. Your data and privacy duties
You retain rights in information you submit. You permit SeatBound to process it as needed to operate, secure and support the service. You must have a lawful basis for customer and staff information, provide required privacy notices, respect marketing choices, configure sensible retention and respond to rights requests. Our privacy notice explains the roles in more detail.
5. Acceptable use
You must not use SeatBound to break the law; mislead, harass or discriminate; send unlawful or unsolicited communications; process prohibited or highly sensitive information without appropriate safeguards; infringe intellectual-property or privacy rights; probe or bypass security; interfere with the service; or give access to an unauthorised third party.
You remain responsible for content, links, automated messages, AI instructions and integrations enabled in your account.
6. Integrations and automated features
Third-party services such as Stripe, communications providers, calendars, accounting tools and AI assistants are governed by their own terms and availability. Automated suggestions and generated output can be wrong; review important information before acting on it. SeatBound may limit or disable an integration to protect users or the service.
7. Availability and changes
We aim to provide a reliable service but do not promise uninterrupted or error-free availability. Maintenance, provider outages, security incidents and circumstances outside reasonable control can affect access. We may change features or limits, and will provide reasonable notice when a material change adversely affects a paid plan unless urgent security or legal action is required.
8. Suspension and termination
We may suspend access where reasonably necessary to address security risk, unlawful use, non-payment or a material breach. Where practical, we will explain the reason and provide an opportunity to remedy it. You may stop using SeatBound at any time and export supported data before account closure.
9. Ownership, warranties and liability
SeatBound and its licensors retain rights in the software, branding and documentation. Subject to these terms, you receive a limited, non-exclusive right to use the service for your organisation.
Nothing in these terms excludes liability that cannot lawfully be excluded. Otherwise, the service is provided without implied guarantees beyond those required by law. SeatBound is not responsible for a connected business's services, customer disputes, tax position, third-party services, or losses caused by inaccurate configuration or unauthorised account use. To the extent permitted by law, SeatBound's aggregate liability relating to the service is limited to the subscription fees paid by your organisation during the twelve months before the event giving rise to the claim.
10. Changes and contact
We may update these terms. Material changes will be dated here and, where appropriate, communicated through the service before taking effect. Continued use after the effective date means the updated terms apply.
